Privacy & Data Protection

Privacy Policy

How we protect your data, minimize storage, and guarantee complete control over your preferences across our bot and website.

Effective: October 2026
Version: 2.4
Data Selling: Never
Plain English Summary

Our privacy commitments at a glance

We built GameHub for gaming communities, not data brokers. Here is the straightforward summary of what happens with your data:

Section 01

Our Core Philosophy

GameHub is built by indie developers who play games and hang out in Discord every day. We believe gaming bots should do their job cleanly without intruding into user privacy.

We operate under a strict principle of data minimization: we only collect and store data that is directly necessary to execute the features you deliberately activate (such as routing a free game notification to a channel you select, or showing a squad card you created).

Section 02

Information We Collect and Why

Depending on how you interact with GameHub, we may collect the following technical details:

  • Discord Identifiers: Discord numerical IDs, including your User ID, Server (Guild) ID, Channel ID, and Role ID. We use Channel IDs so the bot knows where to send game alerts, Server IDs to manage server configurations, and Role IDs when an admin configures an alert ping (such as notifying @Gamers when a free game goes live).
  • Public Discord Profile Data (Dashboard Only): When you authenticate on our web dashboard via Discord OAuth2, Discord provides your public User ID, username, and avatar URL. We use this to verify your identity and confirm which servers you have permissions to manage.
  • Voluntary Squad Gamer Handles: If you use /setid or the squad editor on the dashboard, you may optionally store public gaming handles (such as your Steam Friend Code, PlayStation Network ID, Xbox Gamertag, or Nintendo Switch Friend Code) so your server friends can find you. This feature is 100% voluntary.
  • Wishlists and Watched Games: If you use /watch or add a game on the dashboard wishlist, we store the game title and platform ID so our background tasks know when to send you a discount alert.
  • Technical Logs: Standard web server connection logs (such as IP address, browser type, and timestamp) are temporarily recorded to prevent automated spam, DDoS attempts, and API abuse.
Section 03

What We Never Collect

It is equally important to know what GameHub never touches:

  • No Message Reading: GameHub does not read, inspect, parse, or store the general text messages or direct messages sent across your Discord server. The bot only receives and responds to interactions you deliberately trigger using Discord slash commands.
  • No Voice Recording: GameHub has no voice channel functionality. We do not listen to, record, or transcribe any voice audio.
  • No Financial or Payment Data: GameHub does not process payments or store credit card details. All game transactions take place on external official stores.
  • No Personal Offline Details: We never request or store real names, phone numbers, home addresses, or passwords.
Section 04

How We Use Stored Information

Every piece of data stored by GameHub is tied directly to a specific user requested function:

  • Broadcasting free game alerts, bundle notifications, and price cuts to your configured server text channels.
  • Generating your public squad card when someone uses /gamerid or visits your squad web link.
  • Monitoring price drops on your personal game wishlist and sending you a direct alert when a discount occurs.
  • Keeping you securely logged into the web dashboard so you can edit server alert settings.
  • Diagnosing server errors, maintaining infrastructure stability, and blocking malicious traffic.
Section 05

Third-Party Services and Data Sharing

We do not sell, rent, or trade your data to third parties, advertising networks, or data brokers. Ever.

To operate GameHub, we work with a small number of trusted technology services:

  • Discord API: Delivers slash command interactions, bot message events, and secure OAuth2 login.
  • Gaming Data Providers: We query public APIs (including Steam, CheapShark, IsThereAnyDeal, and HowLongToBeat) to retrieve pricing data, discount percentages, and game metadata. We never share your personal information or Discord account data with these providers.
  • Cloud Hosting Infrastructure: GameHub and its database run on secure cloud environments (such as Render) protected by firewalls and encryption protocols.
Section 06

Data Retention and Deletion Rights

You have total ownership of your stored preferences. We provide simple, self-service tools to manage or delete your data at any time:

  • Removing Squad Tags: Run /removeid in Discord or delete your tags from the squad card editor on the dashboard. They are removed immediately from our database.
  • Clearing Watched Games: Run /unwatchall in Discord or delete games from your dashboard wishlist tab.
  • Server Alert Settings: If you kick GameHub from your Discord server, all scheduled automated posts to that server will cease immediately. Server configurations are automatically retired.
Complete Data Wipe: If you would like all stored data associated with your Discord User ID permanently deleted from our database, send an email to support@gamehubbot.me or reach out in our Discord support server. We will delete all matching records promptly without hassle.
Section 07

Cookies and Session Storage

Our public website does not place third-party advertising cookies, analytics beacons, or tracking pixels on your device.

When you sign in to the GameHub web dashboard using Discord OAuth2, we use a single, encrypted session cookie strictly to verify that you are logged in. This cookie is required for the dashboard to function and is deleted when your session expires or when you log out.

Section 08

Security Safeguards

We take reasonable, industry standard steps to safeguard the data entrusted to GameHub:

  • All data transmitted between your browser, Discord, and GameHub servers is encrypted using modern TLS (HTTPS) protocols.
  • Our database is firewalled and accessible only through authenticated, internal application connections.
  • Session cookies utilize strict security flags (HttpOnly, SameSite=Lax, and Secure in production) to guard against cross-site scripting attacks.
Section 09

Children's Privacy

GameHub is designed for Discord users who meet the minimum age requirements set by Discord (at least 13 years old, or the legal minimum age in your jurisdiction).

We do not knowingly collect personal information from individuals under the age of 13. If you believe a child under this age has provided data to GameHub, please contact us immediately at support@gamehubbot.me so we can delete the records.

Section 10

Policy Updates

As we launch new features and integrate additional game stores, we may update this Privacy Policy.

When changes occur, the updated date at the top of this document will reflect the revision. We encourage you to review this page periodically to stay informed about how we safeguard your data.
